I present a generic budget during discovery, clearly outline payment milestones in contracts, and establish expectations early so clients understand when and how much they'll pay, which reduces late-stage friction.

I started with the tasks that were the most time-consuming and high-risk if done wrong, like accounting, then gradually added admin and project coordination as the team grew, always keeping the core design oversight with me to preserve the aesthetic.
